5 Ways to Make Business Meetings More Effective

With respect to business, meetings are a method to analyse strengths, weaknesses, hopeful possibilities, and probable threats. But, how many times have you attended a meeting which has turned out be really lucrative? One of the biggest complaints employees do are related to meetings; whether they criticise its length, or come out of the conference room as confused as they first stepped inside. The whole period of the meeting shows the management skills of the person hosting it. And, it is pitiful, that 95% of meetings are a waste of time and yield no result. However, it is important for both, manager and workers to understand the importance of meetings for the benefit of the company. Rather than scurrying away from it, make the meetings worth attending. Here are 5 tips, which can help you to save time, energy and ire of workers.  

  1. What is the necessity of the meeting?

The first question you must ask yourself before ringing the bell for a meeting should be, “What is the necessity of this meeting?” If the answer to this question satisfy rationality, then go ahead, and if not, then there are other ways from which you can convey your message. Meetings which are conduct to analyse reports and such can be cut short by sending reports, status and other important documents prior to the attendees. It will not only save time but mark the status of meeting unnecessary.

  1. What is the agenda of the meeting?

A meeting without an agenda is as useless as an idea without a plan. Meetings, generally, are held to accomplish an objective, and if the said objective is ambiguous, then what will it yield? Nothing, of course. If the meeting is inevitable, write down its agenda. Ask yourself: * Why you are organising this meeting? * What topics are needed to be covered? * What is the particular issue? * Who will be the attendants of this meeting? * Which attendee will address which topic?

  1. Time is money

The most irksome meeting are those which have a specific time for starting but, somehow, they defy the idea of packing up. In such meetings, on an average, attendees lose their concentration after an hour, making the whole point of discussion zero. Punctuality is also a big issue. To improve this follow the following points: * If the meeting starts at 8 and the scheduled time for its conclusion is 9, do not stretch any further. Bring the meeting to an end at the provided time. * Do not wait for the late comers, and start without them.

  1. Side issues are a big NO!

For making a meeting more effective, divide the ‘topics-to-be-covered’ into three parts:

  • Most important
  • Important
  • Summary

Address the ‘most important’ topics first in detail, and then skip to the important issues. This technique will make sure that no crucial subject is left.

  1. Keep notes and records

Keeping notes and records for each meeting is necessary for evaluation and further decisions. No one remembers accurately what they concerned themselves with the meeting held a month ago. Keeping notes and records will help you later in understanding many aspects of the meeting held, like:
* Why the meeting was held?
* What topics were addressed?
* Who addressed what topic?
* What was the conclusion?
* What decisions were made?
Applying all the above points before calling for a meeting will not only give you a worthwhile output but you’ll notice less, and fewer groans from employees whenever they will hear the name—meeting.
